Task 2 — Practical: Coordinate Business Resources
Task 2 requires you to demonstrate your ability to coordinate the use of business resources. Complete the following tasks to complete a portfolio of evidence for your Assessor.
a) Copy all organisational policies, procedures and plans relating to the resource you have chosen to be purchased. You may White-Out any information that is confidential.
b) Consult with other stakeholders (managers, users or others who have an interest in the resource to be purchased. You will need evidence of this. There are two Evidence Records that may be completed or you may collect emails or other documents relating to discussions regarding the purchase. You will also need to provide further emails or other documentation relating to the follow-up (how it is working, how do they feel about the equipment and the process.)
C) Obtain at least two quotes and include copies of each,
d) Present your recommendations. This must be:
• Done in the format, style and structure required by your organisation
• Be accurate, word-processed and free of spelling mistakes
• Detail how this will meet organisational purchasing policies and procedures and why it is required
• Calculate costs and expenditures in relation to the use (not the purchase) of your chosen resource.
• Detail how the final choice was realistic and made efficient use of the budget resources
• Detail why you made the choice that you did including productivity improvements. Include any records that you have of the resource use and what is required.
e) Acquire the resource using the channels required by your organisation and develop a schedule for the use by team members, including training time.
f) Inform stakeholders of the purchase and conduct the training. The Evidence Records for the team members may be completed by them to evidence your ability here.
g) When the resources arrive, check that they reflect the quality and quantity in line with the service agreements. Create a check list for this and include a copy for your Assessor.

h) Monitor, review and create a brief report on:
• The effectiveness of the process you used
• Actual costs of purchase and savings as a result
• The effectiveness of the monitoring and reporting on the new resource
• Feedback on suggested improvements on the purchasing process, monitoring and reviews as suggested by the team. You will need evidence of this. There are two Evidence Records that may be completed or you may collect emails or other documents relating to feedback.

Task 3 — Evidence Record Team Member B
This form provides verification and evidence that Learner has demonstrated the skills and applies the knowledge required to determine and analyse existing and required resources, their effective application and accountability for their use.
It applies to individuals with a broad knowledge of business resources who contribute well developed skills and knowledge to ensure adequate resources are available to perform the work of the organisation. They may have responsibility to provide guidance or to delegate aspects of these tasks to others.
The Assessor will observe aspects of this by the Learner as much as possible but will also require information from two team members of the Learner to corroborate and verify portions of their assessment. The Assessor will arrange a time to meet and complete this Evidence Record with each team member.
Element 1.2 - Provide opportunities to individuals and work groups to contribute to the identification of resource requirements Satisfactory Not Satisfactory
Did the Learner effectively provide opportunities for you and your workgroup to contribute to the identification of resource requirements?
